Information for Host Schools and Screening Sponsors
Thank you for your interest in hosting or sponsoring a Youth Heart Screening event. Via Heart Project is committed to providing youth in our community access to heart screenings, regardless of household income. Working with organizations like yours, we are able to bring potentially life-saving tests to youth throughout Northern California. With your help we’ll identify genetic heart defects in young people ages 12–25, before it’s too late!
The following is a partial list of Host Site requirements. Please download the complete Host Agreement below for all that is required.
Both the signed Host and Sponsor agreements are required in order to hold and secure a screening date.
- Heart Safe Campus: Host must have a Heart Safe Campus, which includes AED(s) to provide adequate coverage and an AED management and maintenance program in place.
- Confirming Host Site Calendar: Host is responsible for checking the site calendar and confirming that no other events will be taking place at the site during set-up (Saturday) or during the screening (Sunday) that will in any way limit access to the site, including any rooms or parking areas.
- Custodial Requirements: Host is responsible for providing custodial service the day before the event and the day of the event.
- Food for volunteers: Host is responsible for breakfast, lunch, snacks, and drinks for all volunteers on the day of the screening. This is normally 120-150 people.
- Community Volunteers: All volunteers are required to sign up on Via’s website viaheartproject.org/volunteer/. Walk-in volunteers will not be assigned duties.
- Participants: Host is required to have 150 participants signed up on Via’s website three weeks prior to event viaheartproject.org/screenings/.
- Sponsor: A minimum of $25,000 is required to hold a screening event. Host is responsible for securing one or more event sponsors to reach the required sponsorship amount.
- Sponsor funds: The sponsorship payment is required in full to Via Heart Project 6 months prior to the event date, otherwise the date will be released and all sponsor funds will be returned.
Sponsors subsidize the cost of screenings so they remain free of charge for students and families regardless of income or ability to pay. The audience for a screening event is up to 500 youth along with their families, school staff, media outlets, and over 120 Northern California medical and non-medical volunteers. An estimated 20,000 families and 2,000 volunteers receive information about each event.

Loving Hearts – Annual Sponsor

- This special sponsorship is designed for individuals or organizations recognizing a love one lost to heart issues
- Loving Hearts Annual Program Sponsor will receive all the benefits of the Platinum Heart Annual Sponsor for the entire calendar year, plus
- A vertical banner at all events with your loved one’s picture and story (provided by Via Heart Project)
Platinum Heart – Annual Sponsor
$50,000
- This sponsorship is designed for businesses and corporations
- Logo printed prominently on Via screening trailer, parked visibly at all Via screening events
- Logo on main Screening Page of Via Website, all volunteer t-shirts, Via’s registration portal, press releases, all event promotional material
- Booth at event (products and services may be promoted but not sold)
- Signage throughout the event
- Company banner displayed at event (provided by sponsor)
- Special thanks and recognition at morning “all hands” meeting
